Terms of Use

1. Acceptance of Terms
By registering, accessing or using the Inboxia platform (app.inbox-ia.com), you agree to be bound by these Terms of Use. If you do not agree to any of these terms, you must not use the service.
These terms constitute a legal agreement between you (the “User”) and Inboxia (the “Service”, the “Platform”).
2. Description of the Service
Inboxia is an AI-powered automated customer service SaaS (Software as a Service) platform that allows you to:
- Create and configure customizable AI agents (sales, support, receptionist) that handle conversations autonomously or assisted
- Manage a unified omnichannel inbox that integrates WhatsApp, Instagram DMs and Facebook Messenger into a single dashboard
- Train the agents with your business's own knowledge base (PDFs, URLs, FAQs)
- Automate appointment and booking management with Google Calendar synchronization
- Use a multi-agent orchestrator that automatically selects the most suitable agent based on the query
- Process rich media: image analysis (Vision), audio transcription (Whisper) and document OCR
3. Registration and Account
3.1 Requirements
- You must be over 16 years old to use Inboxia
- You must provide truthful and updated information when registering
- You are responsible for maintaining the confidentiality of your password
- An account is personal and non-transferable
3.2 Account responsibility
You are responsible for all activities that occur under your account, including actions performed by your AI agents, messages sent to your customers, and the use of connected integrations.
4. Plans and Payments
4.1 Subscription plans
Inboxia offers several subscription plans with different levels of functionality:
- Basic Plan: 1 AI agent, limited channels
- Pro Plan: Multiple agents, multi-channel
- Elite Plan: 7 Agents, multi-agent orchestrator and all features

4.2 Trial period
Inboxia may offer a free trial period. At the end of the trial period, you must choose a paid plan to continue using the service. Features will automatically be limited if no payment is made.
4.3 Billing
- Payments are processed through Stripe, a PCI-DSS certified payment processor
- Subscriptions automatically renew at the beginning of each billing cycle
- You can change your plan or cancel your subscription at any time from your dashboard
- Cancellations are effective at the end of the current billing period. No prorated refunds are issued
5. Acceptable Use
When using Inboxia, you agree to:
5.1 Obligations
- Comply with all applicable laws and regulations, including GDPR and data protection regulations
- Obtain the consent of your customers before processing their data through Inboxia
- Comply with the use policies of the third-party platforms you connect (Meta, WhatsApp, Google)
- Inform your customers that they may be interacting with an AI agent
- Respect the 24-hour messaging windows of Meta for Instagram and Messenger
5.2 Prohibitions
It is expressly prohibited to:
- Use Inboxia to send spam, unsolicited messages or bulk commercial content
- Send content that is illegal, defamatory, threatening, pornographic or inciting hatred
- Attempt to unauthorized access to other users' accounts or Inboxia's systems
- Perform reverse engineering, decompile or attempt to discover the source code of the platform
- Use the platform to impersonate the identity of other persons or entities
- Train the AI agent to provide professional medical, legal or financial information without the corresponding qualifications
- Deliberately exceed the limits of your plan through automations or alternative methods
- Create multiple accounts to bypass restrictions or obtain additional trial periods
6. Third-Party Integrations
6.1 WhatsApp
Integration with WhatsApp is done through WhatsApp Web. By connecting your WhatsApp account, you accept the WhatsApp Terms of Service. Inboxia is not responsible for suspensions or blocks of your WhatsApp account resulting from violating their policies.
6.2 Instagram and Messenger (Meta)
Inboxia uses the official Meta Platforms APIs to access and process messages on Instagram and Messenger in accordance with their policies. By connecting these platforms, you accept the Meta Policies. It is your responsibility to have a valid professional Instagram account and/or Facebook page.
6.3 Google Calendar
The Google Calendar synchronization uses the official Google API. By connecting your calendar, you authorize Inboxia to read and create events on your behalf. You can revoke this access at any time from your Google account settings.
6.4 OpenAI
Inboxia uses artificial intelligence models from OpenAI (GPT-4, Whisper, Vision) to generate responses, transcribe audios, and analyze images. The AI-generated responses are indicative, and Inboxia does not guarantee their accuracy or completeness.
7. Intellectual Property
7.1 Inboxia's property
The Inboxia platform, including its code, design, features, brand, logo, and content, is the exclusive property of Inboxia and is protected by intellectual property laws.
7.2 Your content
You retain ownership of all data, documents, knowledge base, and content you upload to Inboxia. By using the service, you grant us a limited, non-exclusive license to process such content for the sole purpose of providing the contracted service.
8. Referral Program
- Each user receives a unique referral code
- Commissions are generated when a referred user subscribes to a paid plan
- Inboxia reserves the right to void commissions earned through fraudulent practices
- Commission withdrawals are subject to verification and may take up to 15 business days
9. Limitation of Liability
- Inboxia is provided “as is”. We do not guarantee uninterrupted or error-free operation
- We are not responsible for the AI-generated responses, as these depend on the agent's configuration and the knowledge base provided by the user
- We are not responsible for the availability of third-party services (WhatsApp, Meta, Google, OpenAI, Stripe)
- We are not liable for indirect damages, loss of profits, or data loss resulting from the use of the service
- Our total liability is limited to the amount paid by the user in the last 12 months
10. Suspension and Cancellation
10.1 By the user
You can cancel your account at any time. Upon cancellation, all channels will be automatically disconnected, and your conversations will no longer be processed. Your data will be retained for 30 days in case you wish to reactivate your account, after which it will be permanently deleted.
10.2 By Inboxia
We reserve the right to suspend or cancel your account if:
- You violate these Terms of Use
- You use the platform for illegal or fraudulent activities
- Your use of the service harms other users or the Inboxia infrastructure
- The collection of your subscription cannot be carried out after multiple attempts
11. Data Deletion
In accordance with Meta policies and GDPR, we offer a data deletion mechanism. You can request the complete deletion of your data by sending an email to agent@inbox-ia.com or using the “Delete account” option in your profile settings. The deletion will include:
- Account and profile data
- Conversations and messages
- Knowledge base and documents
- Agent and business configurations
- Third-party tokens and connections
12. Modifications
We reserve the right to modify these Terms of Use. We will notify you of any significant changes at least 30 days in advance via the platform or by email. Continued use of the service following the notification constitutes acceptance of the new terms.
13. Governing Law
These terms are governed by Spanish law. For the resolution of any dispute, the parties submit to the Courts and Tribunals of the city of the service provider's domicile, unless applicable legislation establishes a different jurisdiction.
